Colligo Briefcase Pro Review


This review covers the Pro version of Colligo Briefcase. I’ve previously completed a review of the Lite version which can be found here.

The Pro version is available from the iTunes Application Store and costs AU $15.99 in the Australian App store or US $14.99 in the American App store. At the time of writing this review (18th March 2012), the application is at version 1.1.2 and is a 6.4MB download.

This review is conducted on an iPad running iOS 5.0.1.

The Pro version builds upon the features available within the Lite version, removing restrictions that were present in that version and offering additional functionality.

The first area that offers changes over the Lite version is the Colligo Briefcase Settings:

The Global storage limit default is to use Unlimited storage. This can be changed to:

  • No Sync, Browse only
  • 10 MB
  • 20 MB
  • 50 MB
  • 100 MB
  • 200 MB
  • 500MB
  • 1 GB

Alert on favorite updated is a feature that is available in the Lite version but wasn’t covered in my review of that version. If you have added any content to your favourites, you will be notified during a sync if it has been updated within the SharePoint site:

As the above screenshot shows, when content is updated you are notified and can either close the notification or view the updated content.

The Passcode feature can be enabled in the Pro version to provide security for the site content. The background timer lockout settings can be changed from Always to:

  • 1 min
  • 2 min
  • 5 min
  • 10 min
  • 30 min
  • 60 min

When set to Always, the application will lock as soon as you switch to another application or to the Home screen. Returning to Colligo Briefcase Pro, you will be prompted to enter the passcode to unlock:

Personally I see no reason to switch this option from Always to ensure the content is kept safe. I’m also glad to see that there is no option to switch this feature off. It was interesting to note that Colligo Briefcase Pro locks when the low battery prompt came up.

Sync on 3G is self-explanatory. By default, this option is off so the application will only sync on Wi-Fi. I’ve not tested this feature. Apart from the cost implications for using data on 3G, I don’t know if there may be any restrictions or limits on how much data can be transferred via 3G.

The other additional security feature that is good to see is the Erase data after 10 failed logins. The default for this setting is Off. Personally, from a security perspective I would personally prefer to see this on by default within the application.

I covered the basics of adding a site within the Lite review. Here I will cover some additional features that are available. The Sync Interval is by default set to manual but can be configured to your personal preference:

You can select Lists to Sync but this option is not available until you have connected to the SharePoint site and have been successfully authenticated. Once authenticated, you can configure the sync options to select the libraries and lists that will be visible within the application and synced:

In addition to choosing which libraries and lists are to be synced, you can also configure each individual library or list with additional settings. By tapping the blue arrow next to the library or list name, you can access the settings to determine whether the list will be available offline and which views will be available:

At an item level, you can also select within the item properties whether content is synced or not (applies both within lists and libraries):

Within Shared Documents, a green icon denotes that the sync is enabled. If disabled, the symbol is grey.

The views from a list or library within the SharePoint site will be available within Colligo Briefcase Pro if they are synced. Any views can be applied by tapping the drop down in the top right corner:

Selecting the Shared Documents library allows you to view the content of the library. As covered in the Lite review, you can tap and drag to resize the libraries and lists area to give more real estate to the view of the Shared Documents. You can also tap and drag the preview bar to resize this window:

As mentioned in the review of the Lite version, I would personally like to see a menu after a tap and hold on content to bring up options like Open In….

Tapping either the blue arrow for an item of content or tapping the Details button within the preview, you can see the properties and have the same options as the full screen view provides to:

  • Open In…
  • Copy Link
  • Email as Attachment
  • Email as Link
  • Go To Folder

You can also favorite the content and view the number of ratings and the average rating. Personally I’d like to see the rating shown in stars but if this can’t be achieved, the decimal places should be suppressed from the view.

Announcements are available within the application if selected for sync:

There is some truncation of the text within the body field. The truncation point depends on whether the device is held in landscape or portrait mode.

The Expires field will not be visible unless a date has been put into this field. I’m not clear why the name field shows as “2_.000”; this appears to be a version number.

Within the properties of an announcement, you can tap to favorite the item or tap the options button to:

  • Email as Link

Calendar is also available if selected to sync:

Tapping on an event within the calendar, you can view the properties:

The category, description and location fields will only appear when they are populated. Whilst not shown above, there is again some truncation of text within the description field when present.

The recurrence field becomes a green tick if the event is recurring but there is no indication within Colligo Briefcase Pro as to what the recurrence is. The name field also appears to be a version number with some strange formatting similar to announcements above.

If the event is linked to a workspace, there is no way to access the workspace from the event. The field is only populated with a 1 which denotes yes. It would be beneficial for productivity if a link to the workspace could be provided here.

Tasks are available within Colligo Briefcase Pro. The standard views of All Tasks, Active Tasks, By Assigned To, By My Groups, Due Today and My Tasks are available from the drop down in the top right corner:

Tapping on a task item, you can view the properties:

The percentage complete and assigned to fields will not be shown unless these fields have values in them (not empty).

There is also some truncation of the text within the description field and this appears to change depending on whether the field is viewed in portrait or landscape mode.

The Team Discussion feature is not available within the Lite version so I have not covered that feature before. The standard views of discussions (Subject, Flat or Threaded) can be used within Colligo Briefcase Pro:

Whilst this is a good feature I personally think the Team Discussion UI needs a bit of further work. To enter the very first post within a discussion in the example used in this review, I have to tap the blue arrow on the first (folder) item to view that. Tapping the folder entry itself presents only the two replies that need to be clicked on.

I also found that there is some truncation, with the quoted messages of the previous two replies missing after the “From:”

This truncation point also changes depending on whether the device is held in portrait or landscape orientation. A sentence and a half is missing from the above text in portrait mode.

The discussion name appears to be a version number with strange formatting.

The application has a good search feature that can help find content:

Summary

In my opinion, a very strong, feature rich client as tested on iOS. As covered in the webinar, this application has a very strong focus on security.

Very strong for document collaboration.

With some refinements and improvements to announcements, calendar, tasks and discussions this application would be of even greater use.

Pro:

  • Very strong, feature rich client with options to control what is synced and stored
  • Very easy to use, intuitive
  • Very good interface design
  • Good support for file types
  • Strong security options

Cons:

  • Would benefit from improvements to functionality and display of content within announcements, calendar, tasks and discussions
